Job Summary

A Patient Service Representative is responsible for providing exceptional patient care and support in a fast-paced medical office environment. This role requires strong communication and interpersonal skills to effectively interact with patients, families, and healthcare staff.

Key Responsibilities
  • Greet patients and families, verify appointment information, and notify nursing staff as needed.
  • Register new patients, assist with completion of necessary forms, and update patient information in the EMR system.
  • Scan completed forms, identification, and insurance cards into patient documents folder.
  • Schedule future appointments based on procedure type, time requirements, and provider schedules.
  • Answer incoming phone calls, gather information, and route calls appropriately using the triage system.
  • Initiate, issue, and verify patient referrals, as well as insurance authorization/pre-certifications as necessary.
  • Accept payments, issue receipts, and reconcile cash drawer daily.
  • Monitor patient flow, communicate with patients regarding delays or issues, and provide helpful assistance to anticipate and respond to patient needs.
  • Provide translation services for non-English speaking patients, families, and staff, if bilingual.
  • Create correspondence to patients who failed to keep appointments, in accordance with policy and provider request.
  • Accept and direct deliveries of medical/office supplies and mail.
  • Perform general office duties, such as document preparation, scanning, mailing, and filing.
  • Maintain a professional appearance and a clean, safe environment.
  • Respect patient rights, maintain confidentiality, and utilize technology to maximize productivity.
  • Develop and maintain electronic files as necessary.
  • Exhibit excellent interpersonal skills, provide customer service, and collaborate with internal and external stakeholders.
Qualifications and Requirements
  • Minimum of one year of customer service and/or medical office experience preferred.
  • High school diploma or equivalent required; Associates degree from an accredited institution preferred.
  • Bilingual (English/Spanish) candidates preferred, but not required; proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint) required.
