The Executive Support Specialist will play a pivotal role in promoting the mission of CrossFirst Bank by providing exceptional administrative support to senior management. This individual will be responsible for delivering outstanding service to clients, guests, and visitors while serving as a liaison between various departments. They will interact with diverse external and internal contacts at all levels of the organization, requiring independent judgment to plan, prioritize, and organize a dynamic workload.

  • Greeting and Directing Clients">
  • The Executive Support Specialist will greet clients and guests upon arrival, providing clear direction to appropriate team members. This includes coordinating the selection of facilities, managing third-party vendors, catering services, invitation mail merge, and RSVP tracking for Kansas City Bank events.">
  • Event Coordination">
  • They will coordinate quarterly Shareholder Board of Advisors meetings, ensuring seamless execution and follow-through on tasks.">
  • Ticket Management">
  • Responsible for managing inventory, distribution, and guest lists for KC's sports and entertainment tickets.">
  • Communication and Phone Handling">
  • Answers incoming phone calls, directing them to the appropriate team member.">
  • Mail and Express Services">
  • Receives, sorts, and forwards incoming mail and deposits, as well as coordinates pick-up and delivery of express mail services.">
  • Administrative Support">
  • Provides comprehensive administrative support to market leaders, including scheduling meetings, setting up conference rooms, and ordering lunches as requested.">
  • Maintenance and Repairs">
  • Coordinates and schedules maintenance repairs and assists with routine building necessities.">
  • Confidentiality and Communication">
  • E nsures that all verbal and written communication originating from the President's office is precise, timely, and demonstrates a high degree of professionalism and service.">
  • Financial Administration">
  • Handles occasional confidential and non-routine information, maintaining confidentiality at all times.">
  • Bank Software Utilization">
  • Utilizes Bank software to input and submit bank-related invoices for payment.">
  • Expense Reporting">
  • Proofreads own work for spelling, grammar, and layout, making appropriate changes to ensure accuracy and clarity of final copy.">
  • Documentation and Filing">
  • Files correspondence, processes invoices, organizes reports, routes inquiries to appropriate parties, and maintains a high level of organization at all times.">
  • Reporting and Presentation">
  • Create and develop reports and visual presentations utilizing Microsoft Power Point, Salesforce, or other software as needed for any Market leader.">
  • Event Planning">
  • Plans and organizes Bank events, including the Annual Client Appreciation Party.">
  • Office Maintenance">
  • Assists with maintaining the Bank, including ensuring sufficient office supplies, postage, and refreshments are always available.">
  • Technology and Equipment">
  • Utilizes all office equipment, telephones, fax machines, computers on a regular basis, including general knowledge of social networking and utilizing technology to its fullest.">
  • Client Interaction">
  • Interacts with internal and external clients while providing extraordinary service.">

  • Develops and maintains trusted, positive relationships with other employees, clients, and vendors.">

Qualifications and Requirements

  • C-Level Experience">
  • Demonstrated experience providing executive-level support to senior management in a fast-paced, service-oriented environment, preferably in banking, accounting, or consulting firms.">
  • Technical Knowledge">
  • Possesses in-depth knowledge of office technology and business communication.">
  • Communication Skills">
  • Demonstrated success with communication of professional and accurate correspondence, presentation, and written reports.">
  • Software Proficiency">
  • Demonstrated knowledge and experience with office automation equipment, including phones, computers, and related software, including expert proficiency with using Microsoft Word, Excel, PowerPoint, and Outlook.">
  • Organizational Skills">
  • Exceptional organizational skills and demonstrated success in a multi-task environment with attention to detail and follow-through.">

Compensation and Benefits
