Accounting Operations Specialist

We are seeking a highly skilled Accounting Administrator to join our team at MEI Rigging & Crating. As an integral part of our accounting department, you will be responsible for coordinating accounting administration and operational functions.
About the RoleThe successful candidate will primarily focus on compiling information between the job tracking system and the corporate accounting system. This position may also provide specific support to one regional office, involving essential job responsibilities unique to that location. You will work collaboratively with the Regional Accounting Manager, Accounts Payable, and Accounts Receivables, as well as perform tasks in support of corporate accounting (invoicing, financial audits, and various administrative tasks).
Responsibilities- Process vendor invoices: Ensure accurate processing and submission to Corporate AP for timely remittance.
- Data entry and reconciliation: Perform accurate data entry into accounting systems to track and monitor purchased materials, services, or goods, and reconcile employee credit card transactions and related documentation.
- New vendor set-up and credit requests: Obtain necessary information for new vendor set-up and collect applications for credit from new customers, submitting them to Corporate AR for credit determination.
- Purchase orders and requisitions: Create purchase orders and/or requisitions for job-related materials and services when requested by management, coding vendor purchase orders with the appropriate GL account/location and noting adjustments.
- Open purchase order tracking: Resolve open purchase orders, complying with purchasing policies, processes, and procedures.
- AR aging review and collection efforts: Review AR aging to ensure compliance with Company and/or customer specifications, initiating collection efforts as required.
- Customer files and records: Maintain accounts receivable customer files and related records, processing and delivering customer invoices, retaining customer files and invoice information.
- Month-end closing responsibilities: Assist with month-end closing responsibilities, working to meet all month-end/close deadlines.
- Cash receipts and office supplies: Handle cash receipts according to policy, including merchant processing of AR credit cards, and assist with ordering of office, janitorial, and kitchen supplies using approved purchasing processes.
- Front office reception duties: Perform front office reception duties, including receiving and transferring incoming telephone calls, and greeting and directing visitors.
- General clerical duties: Perform general clerical duties such as copying, scanning, filing of records, processing incoming and outgoing mail.
- Education: High school diploma or equivalent; associate degree or higher in accounting, business, finance, or similar preferred.
- Experience: Minimum two years' experience in recent office accounting (AR, AP, bookkeeping) preferred.
- Software skills: Good to excellent knowledge of Microsoft Office Suite, including Word, Outlook, and PowerPoint, advanced Excel and data entry skills, with excellent typing speed and accuracy necessary.
- Interpersonal skills: Excellent written and oral communication and interpersonal skills with internal and external stakeholders, and all levels of staff.
- Organizational skills: Excellent organizational and prioritization skills, detail-oriented, manages time efficiently, and able to multi-task successfully.
- Safety awareness: Top-of-mind awareness for safety and ability to work in a high-functioning team environment.
This role is based in a normal, temperature-controlled office environment, requiring frequent work at a computer terminal with extended periods of sitting, occasional walking, and lifting up to 10 pounds. The Accounting Administrator may need to occasionally access or perform work on slick or uneven terrain or perform tasks outdoors or in a non-temperature-controlled or warehouse environment.
