Key Role in Delivering Exceptional Client Service

We are seeking a highly organized and engaging Financial Services Operations Coordinator to join our team at Merit Financial Advisors. This key role is responsible for ensuring excellence in client service by maintaining the administrative organization of the office, warmly interacting with clients, and providing exceptional support to our advisors.

Main Responsibilities:

  • Welcome clients at the front desk, engage them in conversation, and offer refreshments to create a welcoming atmosphere
  • Answer phone calls and transfer them to the correct contacts, demonstrating strong communication skills
  • Schedule client reviews through Salesforce workflow, coordinate appointment priorities with advisors, and update systems accordingly
  • Manage conference room scheduling, ensuring seamless coordination
  • Collaborate with Client Service team members and advisors on action items from client review meetings
  • Confirm appointments using suitable software, guaranteeing timely follow-up
  • Receive, log, and distribute all mail, FedEx, UPS, and general deliveries, handling multiple tasks efficiently
  • Act as the primary point-of-contact with Building Maintenance for any office servicing needs
  • Coordinate maintenance on office equipment with vendors as needed, promoting a well-maintained work environment
  • Order and maintain office supplies and workroom essentials, contributing to a productive workspace
  • Maintain and stock breakrooms, reception areas, and conference rooms with refreshments, enhancing the client experience
  • Assist with event planning and arrange hospitality services for in-office meetings, showcasing organizational skills
  • Contribute to special projects, adapting to changing priorities
  • Send client gifts as requested by team members, demonstrating attention to detail
  • Support branch compliance files, upholding regulatory standards
  • Aid in coordinating technology needs of the branch, staying updated on the latest tools and software

Requirements:

  • A minimum of 1-2 years of front office experience, preferably in a financial services environment
  • Ability to prioritize, organize, and handle multiple tasks efficiently
  • Effective written and verbal communication skills, with the ability to interact professionally with clients and team members
  • Excellent teamwork and time management skills, with a focus on delivering high-quality results
  • An energetic, outgoing personality, essential for creating a welcoming atmosphere for clients
  • Integrity, professionalism, and confidentiality, necessary for maintaining sensitive information and building trust with clients
  • Proficiency with Microsoft Office Suite or related software, with a willingness to learn new tools and technologies
