Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to support the daily operations of our Newton, Massachusetts office. As a key member of our team, you will provide administrative support to our General Agency, ensuring seamless execution of tasks and projects.

Key Responsibilities
  • Field inbound communications: Respond to phone calls and emails, routing them to the appropriate internal parties as needed.
  • Coordinate scheduling: Set up meetings based on cross-functional availability for both internal and external stakeholders.
  • Organize internal resources: Develop and maintain processes to keep files and office supplies organized and easily accessible.
  • Liaise with visitors: Serve as the point person for office guests.
  • Communicate policies and procedures: Inform employees of new processes, rules, and regulations.
  • Facilitate executive-level operations: Book travel, submit expense reports, and send communications for staff as needed.
Requirements
  • High school diploma
  • 1-2 years of experience as an administrative assistant, secretary, or receptionist
  • Strong organizational, communication, and time-management skills
  • Proven ability to work in a fast-paced environment
  • Positive, high-energy attitude
  • Resourcefulness, creativity, and problem-solving skills
  • Familiarity with office equipment (e.g., printers, fax machines, projectors)
  • Proficiency in Microsoft Office (especially MS Excel and PowerPoint)
