Overview of the Role

The Client Service Supervisor oversees the scheduling of caregivers to meet patient needs while collaborating with clinical teams and managing payroll.

This role involves maintaining caregiver engagement, ensuring compliance with regulations, and optimizing staffing levels for efficiency. The supervisor provides training, handles inquiries, and strives to improve caregiver availability and satisfaction.

Key Responsibilities
  • Scheduling and Shift Management:
    • Develop and maintain caregiver schedules to ensure proper coverage for all patients.
    • Careful planning and monitoring of schedules to avoid unnecessary overtime.
    • Manage changes to the schedule, including shift swaps and time-off requests.
    • Develop and implement strategies to retain highly valued caregivers.
  • Payroll Processing:
    • Efficiently manage end-to-end payroll processing, ensuring accurate and timely disbursement of compensation and incentive payments.
    • Address and resolve payroll-related inquiries from employees, providing excellent customer service and ensuring a smooth resolution of discrepancies or concerns.
  • Communication:
    • Serve as a point of contact for caregivers and families regarding scheduling updates.
    • Communicate changes in schedules and updates to caregivers and families in a clear and concise manner.
    • Implement initiatives aimed at revitalizing relationships with inactive caregivers, encouraging their return to the workforce.
  • Staffing Analysis:
    • Consistently monitor and analyze staffing levels, adjusting schedules based on workload and patient needs.
    • Assess and review field staff scheduling and opportunities to maximize caregiver availability.
    • Anticipate and plan for peak times or increased staffing requirements.
  • Compliance and Regulations:
    • Coordinate patient schedules to accommodate caregivers' active certification and licensing status, ensuring adherence to regulatory standards.
    • Monitor and provide additional support with locations' ongoing caregiver licensure and certificate compliance, ensuring timely renewals and periodic compliance checks.
    • Ensure compliance with labor laws, regulations, and organizational policies related to scheduling and payroll management.
    Requirements and Preferences
    • High school diploma or GED required.
    • Must be able to participate in an on-call rotation schedule, providing support for patients and families after normal business hours.
    • Proficient in Microsoft Office applications.
    • Bachelor's Degree preferred.
    • Previous agency staffing experience or office work experience a plus.
    • Healthcare experience a plus.
    • Bilingual a plus.
