Overview:

We are seeking a highly skilled Office Administrator to join our team in the Housing Division. This is a 12-month non-permanent position that will work in the Olympia office between 1-5 days a week.

Job Description:

This position performs professional level work for the Housing Division in the Office of the Assistant Director. The ideal candidate will have experience with Microsoft Word, Excel, Outlook, and PowerPoint, as well as strong organizational and coordination skills to ensure a smooth-flowing, productive work unit.

Responsibilities:

  • Provide high-level support to the Deputy Assistant Director and the Housing division
  • Manage calendar and schedule meetings for Deputy Assistant Director
  • Process signature items for Deputy Assistant Director and Assistant Director
  • Arrange travel for Deputy Assistant Director
  • Maintain the division SharePoint site with program information, with a focus on customer service and transparency
  • Prepare division communication materials, reports, and information
  • Coordinate meetings, including booking locations, arranging catering, preparing agendas and materials, and conference registrations
  • Process travel reimbursements in the Travel and Expense Management System (TEMS)
  • Coordinate and execute office supply purchases and related purchases
  • Process Housing Division mail on a weekly basis
  • Coordinate with other divisions in the agency

Requirements:

  • High School Graduation or GED, AND Three years of progressively responsible experience in office/administrative, bookkeeping, accounting, or general administrative work
  • Experience and expertise in Microsoft Word, Excel, Outlook, and PowerPoint
  • Professional, cordial interpersonal relationships, can-do attitude; maintain professional and respectful demeanor in stressful situations
  • Strong organizational and coordination skills to ensure a smooth-flowing, productive work unit
  • Ability to independently determine, organize, and prioritize workload

Salary:

$55,000 - $65,000 per year, depending on experience.
