Job Overview: We are seeking a highly motivated Administrative Support Specialist to provide administrative support services to multiple counties in Arkansas.

About the Role: As an Administrative Support Specialist, you will be responsible for assisting agency staff with program documentation, including preparing and processing documents and correspondence, checking documents for accuracy and completeness, gathering information, reconciling payment documents, recording data, establishing and maintaining files, and transmitting information.

Key Responsibilities:

  • Assist agency staff with various accounting functions such as processing actions related to unfilled customer orders
  • Review and verify technical and professional materials prepared by staff specialists for format and grammatical accuracy
  • Maintain office files, manuals, handbooks, and reference library according to NRCS and department guidelines and requirements
  • Provide clerical assistance needed to assist with project report preparation and initiative/project completion monitoring
  • Assist with data entry into ACCESS database to track employee's hours worked by program and updates Excel spreadsheet tracking salary and benefit expenses to date
  • Assist with maintaining and updating the QAR database
  • Assist Financial Resources Specialists with ensuring audit packages are complete and submits to NHQ by deadline
  • Utilize a variety of computer hardware and software applications and small office machines to extract information needed to develop reports related to scheduling, program tracking, and balancing of funds committed and expended

Requirements:

  • Possess valid state-issued driving license
  • Proficient in word processing
  • Knowledgeable and experienced in utilizing a variety of computer hardware and software applications, such as Microsoft Windows, Word, Excel, and Access
  • Able to use e-mail and internet browsers
  • Knowledgeable and experienced in operating small office machines, such as calculators, fax machines, scanners, and copy machines
  • Knowledgeable and experienced in general office procedures, such as preparing reports, spreadsheets, and filing
  • Skillful in working with the general public
  • Capable of working independently
  • Possess basic telephone skills
  • Maintaining an electronic or hard copy filing system
  • Mail management and distribution
  • Ability to gather information and complete NRCS-specific forms
  • Operate a sedan, SUV, and pick-up truck

Preferred Qualifications:

  • Supervisor experience
  • Knowledge of accounting principles and processes
  • Knowledge of agency-specific software such as ProTracts, DMS, FA Tracker, NEST, FMMI, ConsvPDB, PSA, JAA, IMPLAN, and CPDES

Work Schedule: Monday through Friday, except Federal holidays and other days NRCS offices officially close. Typical work hours are 8:00am to 4:30pm, however, daily schedules shall be coordinated between the appropriate NRCS manager and the contractor.

Estimated Salary: $45,000 - $60,000 per year based on location and experience.
