Job Summary

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at RAYUS Radiology. In this role, you will be responsible for providing exceptional patient care and support services to patients and referring professionals.

About the Role

The Front Office Associate will work Monday - Friday 8:00am - 4:30pm with rotating Saturday's. This is a full-time position working 40 hours per week.

Key Responsibilities
  • Registration (55%)
    • Greet and check-in patients scheduled for imaging services; register demographic information and process payment plans and copays
    • Answer phones and handle calls in an efficient and friendly manner
    • Field calls appropriately for center associates
    • Act as liaison between technologists and the patients waiting for exams and relay messages regarding scanner status and other clinic information
    • Maintain front office lobby area by straightening magazines, organizing coffee supplies and assisting with general office clean up
    • Order office supplies as needed
    • Maintain supply of patient information sheets
    • PUSH Imaging via electronic interfaces
    • Complete confirmation calls and provide preparation instructions to patient
    • Fax reports, billing information, and medical release forms as requested
  • Insurance (20%)
    • Verify patient's insurance
    • Pre-certify all exams with patient's insurance company
    • Obtain insurance authorization
    • Use knowledge of insurance carriers (example Medicare) and procedures that require waivers to obtain authorization if needed prior to appointment
    • Handle release of information requests for patients, referring offices, other medical facilities, attorneys & insurance companies following Company guidelines
  • Scheduling (20%)
    • Arrange transportation, interpreters, and hotel accommodations for patients when appropriate
    • Enter and submit patient exam orders
    • Verify orders match exam schedules
    • Schedule referrals and ensure proper authorizations are obtained
    • Schedule walk-in patients
    • Process requests for image orders and CDs from referring physicians and patients
    • Maintain an up-to-date and accurate database on all current and potential referring physicians
  • Additional Duties (5%)
