Administrative Support Specialist

About the Role:
The Administrative Assistant III is a vital member of our team at Hackensack Meridian Health, providing administrative support to ensure the smooth operation of our department. This role requires a high level of organization, communication, and technical skills to maintain our daily activities.
Key Responsibilities:
- Schedule appointments, meetings, and conferences for departmental personnel using our interdepartmental and hospital-wide computerized scheduling systems.
- Prioritize calls through a screening process, transfer calls, record messages, and deliver them to the appropriate personnel.
- Coordinate special projects as instructed, compose memos, transcribe notes, and research and create presentations.
- Generate reports, handle multiple projects, and prepare and monitor invoices and expense reports.
- Take and/or transcribe minutes at meetings.
- Review and distribute daily mail correspondence to the appropriate personnel.
- Order office supplies and maintain inventory.
- Maintain up-to-date departmental manuals and files.
- May assist with compiling and developing the annual budget.
- Meet both department and individual goals.
- Adhere to the standards identified in the Medical Center's Organizational Competencies.
Requirements:
- High School diploma, general equivalency diploma (GED), and/or GED equivalent programs.
- Strong skills in MS Office Applications.
- Experience in healthcare or corporate sectors.
- Minimum of 7 years of experience in the field or in a related area or related higher levels of education achieved.
Preferred Qualifications:
- Associate degree or higher.
