Job Summary:
Assist Owner Services staff with any questions and, when necessary, answer incoming phone calls from reservation phone line in a prompt manner; while implementing customer service on any level that is needed.
Maintain department tasks toward a specific area (Contracts, Inventory, Owner Correspondence, RVS, etc.). Ensure directives from management are followed.
Essential Functions:
- Proactively review occupancy and take action to maximize occupancy during normal and distressed periods.
- Manage inventory in various blocks within the Nevada properties; moving and replenishing the allotment as needed to ensure maximum occupancy
- Work with Online Sales & Revenue team to ensure that any retail blocks are effectively moving.
- Forecasting occupancy at various periods, reporting on occupancy expectations, taking action where applicable to maximize usage.
- Establish and maintain relationships with affiliates with whom we have inventory agreements (i.e. Interval International, RCI, HSI, etc.), monitoring utilization and taking action, should the space agreement go unfulfilled.
- Verifying arrivals across all blocks to identify and eliminate over-bookings, duplicates, and confirming that the space reserved is active.
- Work with ASNY Marketing and Sales to ensure any blocks are effectively maintained.
- Report on performance; occupancy, revenue, conventions, etc., bringing attention to any concerns or areas of interest.
- Brainstorm and provide ideas on how owner usage can be increased; using creativity to come up with promos and exciting new ways to entice and encourage owner return.
- Propose and implement creative ways to advance and streamline tasks, processes and controls within Nevada Inventory.
- Maintain open and effective communication with resorts within the Nevada region as it relates to occupancy and inventory.
- Meet all deadlines, as set by Management.
- Active participation in our weekly and bi-weekly meetings by contributing new ideas and opinions in an effort to advance and improve department and company processes.
- Maintain and enforce a professional environment on the call center floor.
- Uphold and model the characteristics and guidelines of our department's Community Essentials.
- Maintain a flexible schedule.
- Must have general knowledge of the resorts and company.
- Answer phones and assist with escalations where Owner Services agent level needs assistance.
- Assist staff with any questions and/or concerns.
- Make reservations and resolve any client reservation/customer service issues that may arise.
- Assist in training new employees.
- Perform all other job requests as assigned by management.
Requirements:
- Proficient in Microsoft Office applications (Excel, Word, Access)
- Ability to multi-task and lead a team.
- Must exhibit sound judgment in service recovery methods
- Excellent communication skills
- Minimum one-year Owner Services experience preferred
- Minimum one-year customer service experience.
