We are seeking a detail-oriented and experienced Financial Administrator to join our team at All About Kids. As a key member of our finance department, you will be responsible for overseeing and managing our financial records, including sales, receipts, payments, and purchases.
About the Role:- You will work closely with our finance team to prepare financial reports, analyze results, manage invoices, and ensure compliance with legal regulations.
- As a hybrid Bookkeeper, you will be required to work in-person at our headquarters in Plainview, NY most days, but also be reliable and comfortable working virtually from home on select days.
- Manage accounts payable functions, including rent and expenses for 4 office locations, insurance and benefits, tax payments, and vendors.
- Maintain schedule of outstanding checks per bank account.
- Process year-end 1099's, work with payroll company to set up and distribute annually.
- Respond to therapists regarding pay issues/questions.
- Work with payroll company to ensure 1099's on direct deposit are accurately processed.
- Collaborate with AR team to ensure all bank deposits are entered timely and accurately.
- Run and maintain accounts payable reports; coordinate with Billing team, Payroll (human resources), and other members of the Finance Department to ensure accurate reporting.
- Manage bank reconciliations for approximately 12 accounts.
- Assist Accounts Receivable team with bank deposits.
- Create grant invoices for NY school districts (approx 300-400 invoices) and explain program budgets as needed.
- Manage PPE expense tracking.
- Collaborate with external auditors and accountants for annual financial audit and CFR.
- Process tax forms and record keeping and recording of tax data.
- Strong business acumen and excellent verbal and written communication skills.
- Detailed-oriented and high E-Systems proficiency.
- Able to work autonomously and as part of a team.
- Excellent knowledge of bookkeeping and accounting practices.
- Prior experience in accounting or finance is preferred, with 3+ years' experience calculating, posting, and managing accounting figures and financial records.
The estimated salary for this role is between $65,000 - $85,000 per year, depending on experience.
