The Chief Operating Officer at Well Life Medicine provides strategic leadership in planning, guiding, and coordinating practice operations to achieve service and operational excellence. This role involves supervising all practice staff, with direct supervision of three mid-managers, fostering cohesion among all practice locations, and managing the development and implementation of policies and procedures.

Key Responsibilities:

  • Supervise practice staff and mid-managers to ensure adequate coverage and efficient scheduling.
  • Work with leadership to identify opportunities and problems, and initiate plans for decision-making and problem-solving.
  • Directly supervise practice mid-managers to oversee staff and arrange for coverage during sick and vacation time.
  • Collaborate with the Admin Lead to refine scheduling protocols and ensure full schedules.
  • Work with staff to ensure provider schedules meet identified benchmarks and apprise the Medical Director of any issues.
  • Make recommendations for staffing levels based on site productivity and patient need.
  • Oversee interviewing, hiring, and orientation of new staff.
  • Ensure timely completion of employee evaluations and set appropriate goals for all supervised staff.
  • Collaborate with the Medical Director to identify areas of concern for providers and bring forward for resolution and feedback.
  • Work with the Quality Manager to ensure the practice meets all benchmarks and initiatives, and provide recommendations and action plans to address any gaps.

Qualifications:

  • At least 5 years of progressively-responsible, management-level experience in healthcare management.
  • Good organizational skills to handle multiple priorities while remaining professional and calm.
  • Ability to lead and work with diverse people.
  • Effective telephone skills.
  • Strong level of confidentiality due to the sensitivity of materials and information handled.
  • Ability to work independently and be self-directed and flexible.
  • Ability to prioritize and perform functions with minimal supervision.
  • Ability to work at a high-volume level of accuracy.
  • Strong written and verbal presentation skills.
  • Strategic planning and business development experience.
  • Strong leadership and organizational skills.
  • Willingness to be physically present and travel to all offices when needed.

Education Requirements:

  • Bachelor's Degree in Healthcare or Business Administration, or the equivalent in education and closely related work experience.

The ideal candidate will be responsible for ensuring operational excellence across the organization, increasing productivity, efficiency, and profitability, and advising the clinic owner on key operational insights. They will also provide coaching to employees to achieve these goals.
