Dental Office Coordinator

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at Smile City Dental. The successful candidate will be responsible for providing exceptional administrative support to our dental team, ensuring seamless day-to-day operations and maintaining a high level of patient satisfaction.
Key Responsibilities- Answer and direct phone calls, greet visitors, and handle their inquiries in a professional and courteous manner.
- Operate office technologies, including computers, phones, and other equipment, to efficiently manage administrative tasks.
- Prepare and process business correspondence, including letters, memos, and reports, with a high level of accuracy and attention to detail.
- File and maintain accurate records, both physical and digital, to ensure compliance with regulatory requirements.
- Provide administrative support to dental staff, including scheduling appointments, preparing patient charts, and maintaining accurate records.
- Assist with data entry, including typing at least 40 words per minute with minimal errors.
- Transmit information or documents to patients using computer, mail, or facsimile machine.
- Balance credit transactions and provide basic financial clerical support duties.
- Present cases to patients and maintain a professional demeanor in all interactions.
- Represent the practice in a professional, pleasant, and cooperative manner at all times.
- Maintain regular attendance and adhere to assigned work schedule and office policies.
- Work independently and cooperatively in team settings to achieve goals and objectives.
- Maintain the highest level of confidentiality to HIPAA standards.
- Adhere to strict safety guidelines and procedures to OSHA and office standards.
- Be comfortable working in a fast-paced environment and able to multitask effectively.
- Be detail-oriented and able to maintain accurate records.
- Be flexible and able to adapt to changing priorities and deadlines.
- Demonstrate active listening skills and effective communication skills.
- Demonstrate good reading comprehension and ability to understand written instructions.
- High school diploma or equivalent.
- Accurate typing at 40 words per minute.
- Minimum of one year of office experience.
- Preferred two years of experience.
