The Branch Coordinator role at CenterWell Home Health is a dynamic opportunity to provide exceptional support to our medical records and billing department. As a key member of our team, you will be responsible for day-to-day coordination of telephone and personnel communication systems, management of agency supplies and mail, and processing of accounts payable. Depending on branch census, you may be assigned additional duties to ensure seamless operations.

Key Responsibilities:

  • Prepare patient assessment packets, including admission, recertification, and post-hospital packets.
  • Process signed and unsigned orders and 485s.
  • Monitor the Order Tracking Report weekly and follow established procedures for reprocessing unsigned orders.
  • Date stamp received documents, except SOC paperwork and paper visit notes, and scan them into client charts within 24 hours.
  • Fax discharge/transfer summaries and episode detail summaries to physicians as tasks appear on the action screen.
  • Copy documentation and assist with ADR preparation.
  • Update HCHB and computer programs as necessary.
  • Complete End of Period claim workflow as part of Billing Specialist responsibilities, ensuring all orders are signed appropriately and coordinating with the administrative team to release claims timely.
  • Adhere to and participate in Agency's mandatory HIPAA/Privacy Program and Employee Compliance Program.
  • Manage incoming telephone calls professionally, screening and routing calls to the appropriate agency staff.
  • Maintain and administer the phone system, including adding/revising voice mail boxes and managing the accurate employee phone roster.
  • Process incoming and outgoing mail.
  • Manage and order office supplies, including agency-specific forms, as needed.
  • Manage and order medical supplies as needed.
  • Assist the Billing Department with EOE billing tasks.
  • Process all accounts payable, routing to the appropriate corporate department as needed.

Requirements:

  • Must understand the issues related to home health and hospice services and be able to problem-solve effectively.
  • Must possess knowledge of Medicare guidelines governing home health and hospice agencies.
  • Must have exceptional customer service skills and be able to communicate well with referral sources, patients, family members, and agency employees.
  • Must be organized, detail-oriented, and possess effective communication skills both orally and in writing.
  • The ability to communicate with a diversity of individuals is required.

Qualifications:

  • Must have a high school diploma or equivalent, typing, clerical skills, and be competent with computers.

Experience:

  • Must possess a minimum of two years' experience in the healthcare industry and one year experience in home health.
