Job Summary

Ogletree Deakins is seeking an experienced Legal Practice Assistant to join our Labor & Employment practice in San Francisco. As a key member of our team, you will provide administrative support to attorneys and paralegals, ensuring the delivery of high-quality legal services to clients.

Key Responsibilities
  • Prepare and process correspondence, memoranda, and complex legal documents using word processing and document management software.
  • Compose and draft routine cover letters and documents, proofread for formatting, spelling, and grammar, and prepare revisions and redlines as directed.
  • Process incoming and outgoing mail and fax communications, ensuring all attachments, exhibits, and enclosures are included.
  • Maintain and update calendars for assigned attorneys, including meetings, appointments, due dates, and client-related activities.
  • Maintain paper and electronic files in compliance with internal policies, performing routine filing and retrieving files as needed.
  • Prepare time entries for assigned attorneys and submit in a timely manner, prepare expense reimbursement and disbursement requests, and coordinate client billing matters with the Billing Department.
  • Provide general administrative support, including preparing and processing new matter documents, receiving and screening phone calls, and communicating effectively and professionally with clients and others in the Firm.
Requirements
  • 10+ years of experience as a practice assistant or legal secretary.
  • Knowledge of legal terminology, legal documents, and legal processes.
  • Accurate typing of at least 70 words per minute.
  • Strong computer proficiency in the use of MS Office, document management, time entry, e-filing, and database software.
  • Excellent communication skills, written and verbal.
  • Understanding of correct grammar, spelling, and punctuation.
  • Strong proofreading skills.
  • Superior organizational skills, including filing, calendaring, and proofreading.
  • Time management skills and ability to work independently as well as with a team.
  • Regular predictable attendance.
  • Must possess leadership qualities.
