Job Overview

We are seeking a highly skilled Administrative Coordinator to join our team at LHH Recruitment Solutions in Houston, TX.

Salary Range: $50,000 - $55,000 annually (DOE), or approximately $24.00 - $26.44 per hour.

Job Responsibilities

The successful candidate will be responsible for managing the front desk daily, performing administrative tasks, and being the first point of contact for our company.

Main Duties:

  • Answering, screening, and directing calls on a multi-line phone system.
  • Greeting and welcoming guests as they arrive at the office.
  • Opening, sorting, and distributing incoming mail, collecting, sealing, and stamping outgoing mail, preparing and forwarding outgoing mail and packages.
  • Maintaining the reception area and conference rooms, ensuring they are tidy and presentable with necessary stationery and materials.
  • Ensuring office security by following safety procedures and controlling access via the reception desk.
  • Assisting with vendor setup.
  • Ordering and maintaining supplies, arranging equipment maintenance, and keeping the break room area stocked and organized.
  • Preparing and maintaining meeting and conference room reservation and catering schedules, circulating the schedule to appropriate staff.
  • Ordering breakfast/lunches for onsite meetings when requested, coordinating pick-up or delivery services.
  • Assisting with various administrative duties including PDF conversion, division orders, and correspondence.
Requirements

To be considered for this role, candidates should have:

  • A high school diploma or GED.
  • Bilingual skills are a plus but not required.
  • Proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Word).
  • Strong written, verbal, and interpersonal communications skills, including the ability to listen attentively and communicate information clearly and effectively.
  • Strong organizational skills, able to manage priorities and workflow.
  • A minimum of 2-4 years of experience in an admin/receptionist/EA role.
  • Oil and gas industry experience is required.
