Job Overview

We are seeking a highly organized and detail-oriented Support Services Coordinator to join our team at Fire Systems, Inc.

This role is responsible for providing administrative support to our fire protection services team, ensuring seamless execution of daily operations.

About the Role

As a Support Services Coordinator, you will be responsible for:

  • Accounts Receivable (AR) Management:
  • Process customer invoices, ensure timely collection of payments, and monitor outstanding receivables.
  • Prepare AR reports and assist with reconciliations.
  • Accounts Payable (AP) Management:
  • Process vendor invoices, ensure timely payments, and verify expense reports.
  • Maintain accurate records of AP transactions.
  • Job Set-Up and Coordination:
  • Create and maintain job files for new and ongoing projects.
  • Ensure all necessary documentation is complete and accurate.
  • Coordinate with project managers to update job status and requirements.
  • General Office Administration:
  • Answer phone calls, respond to emails, and maintain office supplies inventory.
  • Assist in preparing reports, presentations, and other documents.
  • Additional Responsibilities:
  • Billing customers, supporting special projects, and maintaining compliance with company policies and procedures.

Qualifications:

  • Bachelor's degree or equivalent experience in an administrative role.
  • Proven experience in accounting, administration, or a related field.
  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Familiarity with accounting software and ERP systems.
  • Strong organizational and multitasking skills, excellent communication and interpersonal skills.
