Job Summary

The Graduate Medical Education (GME) Coordinator I plays a crucial role in the academic and operational activities of the residency program. Under the oversight of the GME Executive Director, this position coordinates the development of educational and administrative goals, providing support to program directors, faculty, and staff, as well as residents.

Key Responsibilities
  1. Collaborate with the Program Director to address program-related issues and activities, ensuring timely project completion.
  2. Apply ACGME and hospital policies to maintain compliance, interpreting and applying relevant regulations.
  3. Compile and submit reports to the ACGME and Office of GME, ensuring accuracy and timeliness.
  4. Maintain the NI Dashboard, Program Administration, and Database components, ensuring data integrity and accessibility.
  5. Manage GMETrack, PLA, and ACGME ADS, ensuring accurate and up-to-date information.
  6. Prepare purchase orders, requisitions, and reconcile assigned program accounts, ensuring financial accuracy.
  7. Compile data and prepare reports for various training program-related organizations, providing valuable insights.
  8. Develop new procedures in response to new or revised policies, working closely with the Program Director.
  9. Establish relationships with other hospitals, internal departments, and divisions, facilitating resident recruitment, orientation, and program agreements.
  10. Act as a liaison between residents/fellows, program leadership, and GME leadership, ensuring effective communication.
  11. Plan departmental annual events, including recruitment, orientation, graduation, faculty retreats, and program-related events.
  12. Inform residents/fellows of internal and intradepartmental policy and procedure changes, providing necessary support.
  13. Liaise with campus offices and affiliated hospitals, as well as the Program Director, ensuring seamless communication.
  14. Coordinate and administer specialty board examinations and in-service examinations, ensuring smooth execution.
  15. Review internal procedures related to resident/fellow functions and implement new procedures as necessary.
  16. Review residency applications, screen applicants for interviews, and evaluate competitiveness for the program.
  17. Utilize ERAS software to manage residency applications and compile reports as needed.
  18. Write and revise recruitment brochures and printed materials, maintaining program website information.
  19. Administer and coordinate all resident/fellow interviews, communicating with applicants as necessary.
  20. Prepare and distribute rotation, assignment, and call schedules, maintaining rotation information in New Innovations.
  21. Schedule and distribute resident conference schedules, log conference attendance, and monitor compliance.
  22. Develop, implement, and oversee the maintenance of filing, record-keeping, and distribution of materials, evaluating and standardizing office procedures.
  23. Submit and track vacation/sick/floating holiday/holiday leave used by residents/fellows.
  24. Prepare resident travel authorization and arrange travel for conferences.
  25. Complete verification requests from former residents/fellows as needed.
  26. Maintain files/portfolio on all residents/fellows.
  27. Maintain the evaluative processes of the resident/fellow, program, faculty, and rotations.
  28. Monitor resident/fellow duty hours, prepare monthly reports on case/procedure logs and duty hours for the Program Director and GME as requested.
  29. Coordinate medical student rotations.
  30. Perform Match responsibilities and correspond with newly matched residents about requirements and process for appointment to the hospitals.
  31. Assist in the preparation for ACGME Self Study, Site Visits, annual program review (APE), and internal/special reviews.
  32. Perform other duties as assigned.
Requirements

The ideal candidate will possess:

  • Demonstrated computer proficiency in common office software applications, including Word, Excel, PowerPoint, and database applications.
  • Analytical and organizational skills to locate, assemble, maintain, and interpret data from various sources.
  • A working knowledge of software applications adopted for the residency/fellowship/educational programs, to be attained within 6 months of accepting the position.
  • Fundamental knowledge of grants and accreditation requirements.
  • The ability to effectively follow direction in the implementation of program operations.
