Job Summary

We are seeking an experienced Executive Administrative Assistant to join our team at Balance Staffing in Carmel, CA.

The ideal candidate will have a strong background in customer service, data entry, and administrative support. Proficiency in MS Office products such as Word, Excel, Outlook, CRM, and QuickBooks Online is required.

About the Role

This full-time position involves administering all aspects of the client process, including preparing and maintaining client paperwork, assisting with vendor communication, and recording notes from appointments.

The successful candidate will be responsible for processing changes to client information, generating account paperwork, and resolving client service problems. They will also maintain accurate records and communicate effectively with Financial Advisors and clients.

A key aspect of this role is supporting ongoing efforts for growth with new clients and continuous interaction with current clientele to provide an excellent client experience.

Key Responsibilities
  • Administer all areas of the client process, including preparation and maintenance of client paperwork.
  • Assist with vendor communication, including package delivery and outgoing mail items.
  • Record notes from appointments, assign tasks, record opportunities, and assist in creating a follow-up plan.
  • Process changes to client address, phone, email, and bank information.
  • Generate account paperwork, including statements.
  • Process client withdraw, wire, and check requests, documenting relevant comments.
  • Research and resolve client service problems as needed.
  • Process and record transactions on appropriate logs.
  • Set up client files and obtain necessary information.
  • Communicate follow-ups with Financial Advisors and clients.
  • Update and maintain the client management system.
Requirements

To be considered for this role, you must possess:

  • An Associate's degree or equivalent from a two-year college or technical school; or one to two years of related experience and/or training; or an equivalent combination of education and experience.
  • Customer Service Experience is mandatory.
  • Experience in the financial services industry and/or administrative support is preferred.
