Job Summary

We are seeking a highly skilled and organized Human Resources/Payroll Executive Assistant to join our team at Illume Candles. This role will provide critical administrative support to our Executive Leadership and play a vital role in streamlining processes, ensuring smooth operations, and helping us achieve our goals.

Key Responsibilities

Payroll and HRIS Administration:

  • Ensure timely and accurate bi-weekly payroll processing
  • Manage HRIS systems, perform audits, and generate reports to ensure compliance and accuracy
  • Handle benefits administration and assist with year-end processing

HR Support:

  • Assist in recruiting, onboarding, and conducting orientations for new employees
  • Coordinate HR events, wellness programs, and maintain employee recognition systems to foster a positive work environment
  • Lead our FUN committee to promote employee engagement and morale
  • Update HR policies and process documents to ensure compliance and best practices

Executive Assistance:

  • Provide proactive administrative support, including calendar management, travel arrangements, and preparing materials for executive meetings
  • Act as a liaison for the President, managing communications and preparing materials for executive decisions
  • Organize executive meetings, events, and maintain office spaces to ensure a professional and productive work environment

Requirements:

  • Bachelor's degree in HR, Business Administration, or related field (preferred)
  • 2+ years of payroll experience (Paychex preferred)
  • Prior administrative or executive assistant experience
  • Strong organizational, communication, and time-management skills
  • Ability to work independently and maintain confidentiality
  • Proficiency in Microsoft Office Suite
