About the Role

We are seeking a highly skilled Administrative Support Specialist to join our team at PeopleShare Inc.

This is a temp-to-hire opportunity that will support the agency's Chief Operating Officer. As an Executive Coordinator, you will play a critical role in ensuring the smooth operation of our organization.

The ideal candidate will have exceptional time management skills and the ability to work independently.

Key Responsibilities
  • Maintain comprehensive and accurate records of corporate documents and reports.
  • Provide administrative assistance, including composing emails, letters, and memos.
  • Organize meetings and manage the Chief Operating Officer's calendar.
  • File and retrieve corporate records, documents, and reports.
  • Coordinate filing and review of reports before submission.
  • Oversee collection and submission of grant reports in various systems.
  • Reconcile credit card statements and submit documentation to the finance department.
  • Act as a point of contact and liaison among employees and clients.
  • Manage information flow, including sorting and distributing incoming communications.
  • Screen and direct phone calls.
  • Prepare presentations, agendas, reports, and other documents.
  • Perform minor accounting duties.
  • Utilize various software, including word processing, spreadsheets, databases, and presentation software.
  • Provide general administrative support and other duties as needed.
Requirements
  • Minimum of 10 years' experience in the administrative field with 5 years' experience working with C-Level executives.
  • Excellent communication and time management skills; proven ability to meet deadlines.
  • Ability to work independently and demonstrate self-initiative to complete tasks.
  • Ability to function well in a high-paced environment and perform additional duties as assigned.
  • Current New Jersey driver's license with a driving record of at least three years.
  • Vehicle with current registration and insurance.
