Executive Office Administrator

We are seeking an accomplished Administrative Manager to join our team at our Newport Beach location. As a key member of our organization, you will play a pivotal role in ensuring the smooth operation of our office.

We take pride in providing exceptional service to our clients across three Southern California locations.
The Role
You will be responsible for coordinating human resource activities, data entry, employment, compensation, benefits, training, and development. This includes assisting with the recruitment process, coordinating new employee orientations, and providing assistance on company policies and procedures.
Your Responsibilities
- Manage the receptionist and their backup
- Oversee office equipment, systems, phones, mail, security, building access, network printers, and copiers
- Manage the budget for office expenses, order supplies, and maintain vendor relationships
- Coordinate company events
- Maintain a professional and organized office appearance
Payroll and Financial Management
- Process payroll, review reports, and maintain accurate filing systems
- Correct employees' timesheets as needed
- Prepare and submit payroll reports to management
- Manage vacation and PTO accruals
- Prepare standard and ad hoc reports for management
Required Skills and Qualifications
- Strong written and verbal communication skills
- Excellent multitasking and organizational abilities
- Proficient in Microsoft Office
