About the Role

Guidepost Solutions LLC is seeking a highly skilled and organized Financial Operations Coordinator to support our Miami office and LATAM region with administrative functions and general accounting duties. This position requires excellent communication skills, both written and verbal, as well as proficiency in Microsoft 365 and Enterprise Accounting Systems.

Key Responsibilities
  • Provide administrative support for the office, including mail, supplies, onboarding/offboarding tasks, and coordination with People Operations and IT.
  • Support the co-presidents of LATAM by managing schedules, coordinating travel, preparing meeting materials, and completing special projects.
  • Collaborate with LATAM leadership to organize executive meetings, client interactions, and regional events.
  • Work closely with case managers to ensure timely and accurate pre-bills for clients.
Accounting Responsibilities
  • Receive and log subcontractor invoices for entry into the project accounting system and process through payables.
  • Prepare and distribute prebills/client invoices.
  • Review and modify billing entries and bill modifications.
  • Keep track of active projects with their respective budgets and deadlines.
  • Organize and maintain billing files and other documentation related to onboarding clients and subcontractors.
  • Process LATAM office accounts payable, American Express Accounts payable entries, and reconciliation of the office American Express card.
  • Responsible for ensuring accurate time and expense entry for LATAM offices.

We offer a base annual salary range of $65,000 - $80,000 depending on experience and qualifications.
