Patient Experience Coordinator

A Patient Experience Coordinator is needed to provide exceptional customer service and administrative support at Boston Children's Hospital.
About the Role
This role requires a high level of organization, effective communication skills, and the ability to work in a fast-paced environment. The ideal candidate will be able to multitask, prioritize tasks, and maintain confidentiality when handling sensitive information.
Key Responsibilities
• Provide positive and effective customer service that supports hospital operations
• Greet, screen, and direct patients, families, and visitors
• Register new patients upon arrival
• Monitor clinic activity to ensure a best-in-class patient experience
• Record and process patient demographics, insurance/payment, and referral information for patient encounters
• Collect all necessary clinical documentation and information
• Transcribe code and patient treatment information into a billing system
• Obtain required authorizations, referrals, and verifications of insurance to compile patient and staff schedules
• Schedule patient encounters and procedures to coordinate with and across providers, departments, and institutions
• Monitor daily schedule and coordinate flow to optimize resource utilization and patient experience
• Maintain personal calendars for physician/supervisor(s)
• Schedule meetings, programs, and events
• Transcribe, type, and proofread correspondence, forms, reports, and other materials involving complex scientific, technical, and/or specialized terminology
• Record and forward messages, triage calls for urgent information or services, initiate calls for emergency services
• Participate in the purchasing of inventory
• Provide routine clerical support as needed
• Utilize all office technology, including phone systems, email, Microsoft Office programs, and clinical, scheduling, and billing applications
• Enroll patients and caregivers in patient portal
Schedule
The schedule for this role will be:
• Sundays: 8:30am to 2:30pm
• Mondays: 8am to 5:30pm
• Tuesdays: 8am to 5pm
• Thursdays: 11am to 9pm
• Saturdays: 8:30am to 3:30pm
Qualifications
To be considered for this role, you must have:
• High School Diploma/GED
• Previous customer service and/or administrative experience
• Bilingual in Spanish preferred
• Basic customer service and computer skills required
• Ability to communicate effectively both orally and in writing and provide empathy in difficult interpersonal situations
• Ability to work with diverse internal and external constituencies
Salary and Benefits
We offer a competitive salary of $55,000 - $65,000 per year, depending on experience, plus unmatched benefits including flexible schedules, affordable health, vision, and dental insurance, child care, student loan subsidies, generous levels of time off, 403(b) Retirement Savings plan, Pension, Tuition and certain License and Certification Reimbursement, cell phone plan discounts, and discounted rates on T-passes.
