We are seeking an experienced and organized Executive Operations Coordinator to join our team in Minneapolis. This is a full-time, onsite role where you will provide critical support to one or more C-level executives, ensuring the smooth day-to-day functioning of our office.

What You'll Do
  • Provide comprehensive administrative support to one or more C-level executives, including calendar scheduling, coordinating meetings across time zones, resolving conflicts, and arranging travel plans with detailed itineraries and briefing materials.
  • Handle expense reporting, processing receipts, reimbursements, and managing financial systems.
  • Prepare presentations, reports, and special documents as needed for executive and team needs.
  • Oversee daily office operations for the Minneapolis location, ensuring a collaborative workspace by maintaining supplies, managing vendor relationships, and coordinating office maintenance.
  • Organize and support on-site events, meetings, orientations, and training sessions, including room setup, meal arrangements, and other logistics.
The Ideal Candidate
  • 1-3 years of experience in an administrative role; experience supporting C-level executives is a plus.
  • Strong organizational, time-management, and problem-solving skills in a fast-paced environment.
  • Excellent communication skills with the ability to work across different levels of the organization, from C-suite to frontline.
  • Proficiency in Microsoft Office and productivity tools; familiarity with Teams, Concur, SharePoint, and NetSuite is preferred but not required.
  • Ability to handle multiple priorities, manage competing deadlines, and maintain professionalism while dealing with sensitive information.
