Job Summary

As a key member of our team, the Administrative Office Support Specialist will provide vital support to our facility by performing various business office functions. This role involves handling medical records, credentialing, admissions/intake, accounts payable, billing, collections, insurance verification, and other duties as assigned.

Main Responsibilities
  • Scheduling surgeries in our computer system, including pertinent information, and handling calls from physician offices regarding scheduling patients, surgeries, or associated calls.
  • Answering phone calls in a professional manner, dealing with physician offices and patient needs promptly, taking messages, and transferring calls to other departments when necessary.
  • Performing pre-registration, ensuring authorization is obtained from physician offices prior to scheduled surgeries, completing necessary paperwork, and using our computer system to generate surgical/procedure information.
  • Maintaining logs for cancelled appointments.
  • Completing various clerical tasks such as photocopying forms, reports, patient information, mailing surveys, preparing patient charts, faxing forms, and retrieving faxes as needed.
  • Maintaining a clean and organized surgery scheduling area.
  • Verifying all scheduled cases as soon as possible.
  • Contacting patients with financial responsibilities immediately, informing them of our payment policies, and offering payment options if necessary.
  • Detailed documentation of insurance verification and patient calls in patient accounts.
Requirements
  • High school diploma or equivalent required; associate degree or equivalent preferred.
  • Minimum three years of experience in healthcare, with a minimum of one year in surgery scheduling procedures preferred.
  • Able to work independently and function within a team.
  • Brief knowledge of surgery scheduling, receptionist, and registration responsibilities, along with stress-handling abilities.
  • Flexibility with hours and willingness to work any shift assigned.
