Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to provide exceptional support to our Finance and Contracts Directors. As a key member of our team, you will be responsible for a wide range of administrative functions, including calendar management, travel arrangements, and expense reports.

Key Responsibilities
  • Perform administrative tasks such as setting up and maintaining files, maintaining calendars, and providing phone coverage.
  • Arrange and support on-site and off-site meetings, including video teleconferences and Microsoft Teams meetings.
  • Prepare expense reports and arrange travel plans for assigned groups.
  • Receive, refer, and answer mail, as well as produce PowerPoint charts and agendas.
  • Maintain team rosters and organizational charts, and act as the program's employee engagement lead.
  • Coordinate volunteer support for program events and support morale and diversity events within the facility.
  • Provide backup and fill-in support for the VP and site director's administrative assistant during absences.
  • Support customer relations and interface with customers, including setup of meetings and coordination of badge access and visit requests with LM Security.
Requirements
  • Experience working as an administrative assistant in the RMS line of business.
  • Excellent computer skills, including Microsoft Office Suite and general internet.
  • Ability to accurately complete complex travel arrangements and expense reports.
  • Demonstrated ability to prioritize and complete work on time.
  • Excellent interpersonal skills and ability to work well with all levels of RMS staff.
  • Degree from an accredited college and self-motivated with a customer service mindset.
