Corporate Services Representative

The Client Services Specialist is a key role at Lexitas, responsible for delivering exceptional customer service to our clients. This position requires a high level of interaction with clients at all organizational levels, necessitating precise and professional communication and customer service skills.
Key Responsibilities- Build and maintain client relationships by providing excellent customer service.
- Communicate effectively with clients regarding corporate services.
- Respond and resolve incoming client, affiliate, and vendor/correspondent requests, queries, issues, and concerns via phone and email.
- Manage the entire order process from initial client inquiry through processing, invoicing, and follow-up.
- Prepare, review, and file corporate documents, including articles of incorporation/organization, amendments, DBA/assumed business names, newspaper publications, annual reports, mergers and conversions, withdrawals and dissolutions, pre-clearance documents, tax clearance requests, and reinstatements/revivals.
- Obtain certificates of status with both the state and revenue departments, conduct name availability and status searches, produce verbal bring-down reports, file/tracking name reservations and registrations, and obtain copies of miscellaneous public record documents.
- Process apostilles and document authentications and legalizations.
- Review deliverables and invoices prior to sending to clients.
- Assist with initial client account set up and maintenance.
- Educate and promote additional services such as Registered Agent Services, transactional services, Federal Employer Identification Number (FEIN) services, corporate kits and supplies, business license renewals, and annual report services (ARS).
- Assist clients with queries regarding online accounts, tools, and services.
- Create and maintain filing fees/requirements reference charts.
- Assist with answering phone calls and routing to the appropriate department.
- High school diploma or equivalent required.
- Preferred education: Bachelor's degree.
- Preferred experience: 2-4 years' experience in corporate services/registered agent industry.
The Client Services Specialist will work in a fast-paced, high-energy environment, requiring strong critical thinking and problem-solving skills. The ideal candidate will be able to work independently with minimal supervision, possess excellent attendance and punctuality, and provide superior customer service.
