Job Description

The Membership-Volunteer Coordinator will play a pivotal role in promoting volunteer opportunities and actively seeking volunteer members for the Parenteral Drug Association. This position will work closely with PDA staff to develop new pathways for volunteer activity, support the placement of volunteers, and ensure member satisfaction with volunteer programs.

Key Responsibilities:

  • Coordinate and support volunteer and member recruitment initiatives to foster a strong sense of community within the association.
  • Monitor and respond to volunteer mailbox inquiries, phone calls, and Volunteer Interest Profile submissions in a timely and professional manner.
  • Coordinate and support the delivery of executive reports on critical volunteer metrics to inform strategic decision-making.
  • Carry out volunteer communications and marketing on the PDA website, in social media, by email, and at conferences to promote volunteer opportunities and engage members.
  • Communicate with chapter leaders to gather relevant updates and content on chapter events, news, and other important information to ensure a cohesive association-wide approach.
  • Import, update, and support database cleanup of member and volunteer data in the AMS to maintain accurate records and ensure efficient operations.
  • Assist volunteers in finding appropriate opportunities for participation in the PDA Volunteer Interest Program (VIP) to maximize their impact and engagement.
  • Identify opportunities for, and provide material support to, volunteer award recognition initiatives such as updating Volunteer Spotlights records and PDA Awards Committee nominations/winners in Aptify database to recognize and reward outstanding contributions.
  • Annually implement the update of board room plaques of new PDA award recipients and the mailing of member pins to commemorate special achievements.
  • Ensure that monthly membership lists are delivered efficiently and securely to Chapter leadership following established guidelines to maintain accurate records and facilitate effective communication.
  • Be prepared to provide PDA booth support at conferences, including set-up, staffing, and tear-down, to represent the association and engage with members and potential volunteers.
  • Manage and track shipment of PDA booth supplies/promotional materials for conferences and chapter events to ensure a professional and cohesive visual identity.
  • Manage inventory of Booth and Chapter promotional materials to maintain a well-stocked and up-to-date supply of materials.
  • Respond to routine member and customer inquiries/complaints in a timely and professional manner to provide excellent customer service and maintain a positive association reputation.

Requirements:

  • Bachelor's degree in a related field and 1-2 years equivalent experience or equivalent combination of education and experience.
  • Ability to take direction, accomplish tasks efficiently, on time, and accurately.
  • Ability to prioritize work and organize an office environment.
  • Ability to work under general guidance as well as within a team.
  • Ability to apply sound judgment and use discretion when dealing with sensitive information.
  • Excellent interpersonal, analytical, and communication (both written and oral) skills.
  • Ability to work in a team-oriented environment.
  • Excellent organizational skills.
  • Knowledge of Microsoft Word, Excel, PowerPoint, and Outlook.

Physical Demands:

  • Ability to independently ascend and descend stairs.
  • Ability to independently reach, twist, and bend.
  • Ability to independently remain stationary for extended periods of time.
  • Ability to independently lift up to thirty (30) pounds when required by work assignment.
