Workplace Experience Coordinator

We're seeking a Workplace Experience Coordinator to enhance the overall workplace experience by providing exceptional front desk support and coordinating various office services. This role ensures a welcoming environment for all visitors and employees, while also managing key administrative tasks to support the smooth operation of the facility.

Key Responsibilities:

  • Serve as the first point of contact for all those entering the facility, greeting them with a friendly and welcoming demeanor.
  • Issue visitor and parking passes and follow security protocols.
  • Arrange and confirm recreational, dining, and business activities on behalf of the requestor.
  • Manage janitorial or maintenance work orders as needed.
  • Coordinate and execute workplace services, including mail, office supply services, and onboarding.
  • Acknowledge inquiries or complaints from employees, guests, and co-workers, providing solutions in a professional customer service-driven manner.
  • Organize and manage on-site events, including securing event space, setting up and tearing down the room, and delivering supplies.
  • Follow property-specific security and emergency procedures, notifying appropriate parties to ensure the safety of all individuals in the building.
  • Coordinate with vendors who supply services or goods to the workplace.
  • Perform other front desk activities as requested.
  • Manage office supply and breakroom inventory and upkeep.
  • Assist in coordinating facilities requests.

Requirements:

  • High School Diploma or GED required; Associate degree in a related field preferred.
  • Up to 2 years of job-related experience, preferably in office, customer service, or equivalent positions.
  • Intermediate working knowledge of Microsoft Office products, including Word, Excel, and Outlook.
  • Strong communication skills to exchange straightforward information.
  • Ability to follow basic work routines and standards in the application of work.
  • Experience working with virtual and matrixed teams is preferred.
  • Knowledge of SharePoint and Visio is preferred.
  • Special certifications such as ASTD (American Society for Training and Development) are preferred.
