**Job Overview**

We are seeking a highly organized and detail-oriented Medical Office Coordinator to join our team at Virginia Commonwealth University Health Systems.

The estimated annual salary for this role is $45,000-$65,000 based on experience.

**Key Responsibilities:**

  • Administrative Support: Provide confidential secretarial and administrative support, including data entry and coordination, mailings, general tasks, scheduling meetings, and generating meeting minutes.
  • Fiscal Management: Research and resolve invoice and payment issues related to purchase orders and vendor invoices; enter purchase orders into the system to assist in procurement of equipment, software, and services; track and monitor purchase orders; update and maintain records of financial transactions and vendor contracts.
  • Scheduling and Coordination: Ensure that activities, meetings, and events are scheduled accurately; provide timely information to assist with scheduling; handle urgent and sensitive information on a daily basis while maintaining office confidentiality.

**Required Skills and Qualifications:**

  • Experience: Minimum of two years of previous secretarial/administrative work experience in an office setting.
  • Education: High School Diploma or equivalent required.
  • Skills: Proficiency in Microsoft Office applications and e-mail/calendaring; ability to learn VCUHS policies and procedures.

**Work Environment:**

  • Work Schedule: Generally works day shift, Monday through Friday, but may require flexibility for special projects or to meet organizational needs.
  • Physical Requirements: Ability to lift 50-100 pounds; prolonged sitting, walking, and repetitive motion.
