Inventory Management Specialist

**Job Summary:**
We are seeking an experienced Inventory Management Specialist to join our team at FitTea Energy, a leading provider of premium wellness products. This role is responsible for ensuring the efficient management of inventory, purchasing, and supply chain activities across our product range.
**Key Responsibilities:
- Purchasing & Procurement:
- Manage the purchasing process for all raw materials, finished goods, and wellness products to support production, sales, and customer demand.
- Evaluate and establish relationships with suppliers, negotiating terms and prices to secure cost-effective procurement of materials and products.
- Monitor order status and track inventory levels in real-time using QuickBooks Advanced Inventory Control, ensuring timely deliveries and minimizing production disruptions.
- Maintain accurate purchase order records, receipts, and supplier communications within QuickBooks.
- Inventory Control & Management:
- Utilize QuickBooks Advanced Inventory Control to track and manage inventory across multiple warehouses, Amazon and Distributors ensuring real-time visibility of stock levels and inventory movements.
- Monitor inventory levels for FitTea and other products, ensuring optimal stock levels and preventing stockouts or excess inventory.
- Conduct routine inventory audits and cycle counts, utilizing QuickBooks reporting tools to identify discrepancies and maintain inventory accuracy.
- Oversee product locations, bins, and lot tracking to ensure traceability of inventory items, especially for items with expiration dates or batch codes.
- Collaborate with the sales and production teams to forecast inventory needs and adjust purchasing plans accordingly.
- Supply Chain & Operations Support:
- Coordinate with logistics and supply chain teams to ensure timely delivery of products from suppliers to our warehouses and retail partners.
- Work closely with production and fulfillment teams to ensure smooth inventory turnover and availability for customer orders.
- Resolve any issues related to delayed shipments, order discrepancies, or damaged goods, working with vendors to address concerns.
- Develop and implement standard operating procedures (SOPs) for purchasing, inventory management, and order fulfillment processes.
- Monitor key performance indicators (KPIs) such as inventory turnover, order fulfillment rates, and supplier performance.
- Data Analysis & Reporting:
- Use QuickBooks Advanced Inventory and other data analysis tools to generate reports on inventory performance, purchasing trends, and cost-saving opportunities.
- Prepare regular reports on purchasing activities, inventory status, stock aging, and product performance for senior management.
- Track and analyze product sales trends (especially for FitTea) to better align inventory management with customer demand.
- Provide data-driven recommendations for process improvements and cost-reduction strategies.
- Continuous Improvement:
- Continuously evaluate and improve inventory management processes to increase efficiency, reduce waste, and lower costs.
- Identify areas for process automation or optimization within QuickBooks or the inventory management system to minimize manual data entry and errors.
- Participate in cross-functional teams to enhance purchasing and inventory strategies, ensuring alignment with business goals and customer needs.
- Stay up to date with industry best practices and technological advancements in inventory management and procurement.
**Qualifications:
- Bachelor's degree in business administration, Supply Chain Management, Operations, or a related field.
- Minimum of 3-5 years of experience in purchasing, inventory management, or operations, preferably in the wellness, health, or consumer goods industry.
- Knowledge of Amazon storefront and account management next.
- Proficiency in QuickBooks Advanced Inventory Control is required, with experience in multi-location inventory management, lot/serial tracking, and reporting.
- Strong understanding of inventory management, forecasting, and supply chain best practices.
- Excellent organizational, problem-solving, and analytical skills.
- Ability to negotiate and manage supplier relationships effectively.
- Strong communication skills, both verbal and written, with the ability to collaborate across departments.
- Detail-oriented with the ability to manage multiple tasks and prioritize in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and familiarity with other relevant software tools.
**Compensation and Benefits:
Estimated salary: $65,000 - $80,000 per year, depending on experience.
