**Job Title:** Housing Division Administrative Coordinator

Location: Olympia office (1-5 days a week)

Salary Range: $45,000 - $65,000 per year

Job Description:

The Housing Division of the State of Washington is seeking an experienced administrative coordinator to join our team. As an administrative coordinator, you will provide high-level administrative support to the Deputy Assistant Director and the Housing Division, performing a variety of tasks including calendar management, travel arrangements, document preparation, and records management.

Key Responsibilities:

  • Manage calendars for senior staff members and ensure timely meetings and appointments
  • Process signature items for Deputy Assistant Director and Assistant Director, ensuring accurate and efficient processing
  • Arrange travel for senior staff members, including making travel arrangements and booking flights and hotels
  • Prepare documents and reports using various software tools, including Microsoft Word, Excel, and PowerPoint
  • Maintain division SharePoint site with program information, ensuring that it is up-to-date and easily accessible
  • Provide technical assistance relating to records to division or unit staff, ensuring that they have the necessary knowledge and resources to perform their jobs effectively
  • Train division employees on records retention schedule related to division and unit records, ensuring that they understand the importance of maintaining accurate and up-to-date records
  • Assist agency records office as needed regarding division records, ensuring that all records are accurately maintained and easily accessible

Requirements:

  • High School Graduation or GED, AND Three years of progressively responsible experience in office/administrative, bookkeeping, accounting, or general administrative work
  • Experience and expertise in Microsoft Word, Excel, Outlook, and PowerPoint
  • Ability to communicate fluently and effectively, both verbally and in writing
  • Professional, cordial interpersonal relationships, can-do attitude
  • Strong organizational and coordination skills to insure a smooth-flowing, productive work unit
