Job Summary

We are seeking a highly organized and detail-oriented Office Assistant IV to join our team at AFSCME. This role will provide administrative support to our department, ensuring the smooth operation of our office.

Key Responsibilities
  • Manage special projects, creating and maintaining documents, reports, and charts, while ensuring accuracy and attention to detail.
  • Process information, comparing, calculating, and transferring data to other sources, ensuring accuracy and efficiency.
  • Prepare and process invoices, EAFs, and APTs, maintaining budget records and ensuring timely payment.
  • Support all OFS programs, meetings, committees, conferences, and conventions, coordinating logistics and facilitating web meetings.
  • Prepare and process travel authorizations, leave requests, and expense reports for department staff and non-staff.
  • Manage filing systems, sorting, storing, and retrieving information as needed.
  • Schedule appointments, conference calls, and meetings, taking notes as assigned.
  • Manage mail distribution, regularly checking fax machines for documents.
  • Order and maintain supply levels for the department.
  • Update directories, departmental databases, and committee lists.
  • Answer incoming calls, screen calls, route calls, or take and deliver messages, handling routine requests for information.
Requirements

We are looking for a highly skilled and experienced Office Assistant IV with a strong background in office and organizational procedures. The ideal candidate will have:

  • High level proficiency in MS Office Suite, especially Excel, MS Access, and other databases and software programs.
  • Ability to use MS Outlook, including the calendar program, and perform accurate data entry into databases.
  • Excellent knowledge of office and organizational procedures.
  • Ability to work independently, meet tight schedules, and communicate effectively.
  • Strong ability to proofread documents and compose correspondence.
  • Ability to establish and maintain effective working relationships.
