Job Summary

We are seeking a highly skilled Grants & Contracts Administrator to join our Office of Research and Sponsored Programs (ORSP) team. As a key member, you will play a vital role in supporting the development, submission, and preparation of grants, contracts, and other agreements. Your expertise will ensure compliance with federal regulations, agency policies, and University guidelines.

Salary and Benefits

The estimated annual salary for this position is $85,000-$110,000, depending on qualifications and experience. Our comprehensive benefits package includes medical, dental, and vision coverage, as well as 401(k) matching, paid time off, and professional development opportunities.

Job Description

Key Responsibilities:

  • Guide and facilitate faculty and staff in developing, submitting, and preparing grants, contracts, and sub-awards using internal and external systems.
  • Coordinate proposal routings for approval according to established guidelines.
  • Review grant and contract application forms to ensure accuracy and compliance with federal regulations, award terms, and sponsor and University policies.
  • Identify and communicate funding opportunities to faculty and staff.
  • Utilize software systems, including grants management and prospecting tools, to perform routine duties and troubleshoot issues.
  • Provide timely responses to a high volume of emails from faculty, staff, and external stakeholders.
  • Assist in coordinating and preparing the ORSP annual report.
  • Draft, proofread, or complete applications, letters, and forms during proposal development and submission.
  • Perform administrative tasks, including supply purchases, copier maintenance, computer purchases, and inventory management.
  • Maintain a comprehensive calendar for proposal submissions, letters of intent, and other supporting documents.
  • Schedule meetings, coordinate workshops, and training sessions.
  • Update the ORSP website with templates, agreements, and trainings.
  • Attend national trainings to develop expertise in research administration and present findings to the Office.

Required Skills and Qualifications:

  • Bachelor's degree;
  • At least 5 years of experience in a related position;
  • Knowledge of federal regulations related to grants and contracts;
  • Ability to work independently and manage workload effectively;
  • High proficiency in Microsoft Word, Excel, and PowerPoint;
  • Excellent verbal, written communication, organizational, and time management skills;
  • Ability to communicate effectively with diverse groups of people.

Preferred Qualifications:

  • Strong research administration skills;
  • Experience using one or more of the following systems: Cayuse, Banner, SPIN, eRA Commons, and Fastlane;
  • Knowledge of agency policies related to grants supported by federal agencies, including NIH, NSF, NASA, DOE, and DOD.
