Job Summary

We are seeking a highly skilled and organized Safety and Research Office Coordinator to join our team at the State of Illinois. The successful candidate will be responsible for facilitating, directing, and monitoring administrative services for the safety and research teams within the Office of Intermodal Project Implementation (OIPI).

Key Responsibilities
  • Develop and manage overall administrative services for safety and research staff within OIPI.
  • Assist the Deputy Director of Safety and Research with special projects.
  • Coordinate travel plans for safety and research staff within OIPI according to travel regulations and assist staff with development of travel vouchers.
  • Review, reconcile, and enter all time keeping documents for safety and research staff within OIPI.
  • Monitor the collection and submittal of staff evaluations and personnel documents for compliance with departmental policies.
  • Coordinate procurement services and invoices and review and process them while adhering to budget constraints and state and federal requirements.
  • Prepare and maintain current job descriptions for safety and research positions within OIPI.
  • Develop interview questions and perform interviews to hire staff for safety and research positions within OIPI.
  • Maintain harmonious relationships with employees, management, and the general public.
  • Manage the record retention of program and administrative files according to department record retention policies.
Requirements
  • Completion of a bachelor's degree majoring in human resources, business administration, public administration, paralegal studies, or a related field, plus three years of experience with preparing sensitive personnel documents, managing time keeping functions, reviewing detailed documents for accuracy, performing interviews, developing job descriptions, operations management, or a combination thereof.

Preferred Qualifications
  • Familiarity with federal grant administration.
  • Familiarity with progressive disciplinary process.

  • Ability to work on a variety of administrative tasks.
  • Ability to resolve issues effectively.
Working Conditions
  • Occasional in-state and out-of-state travel which may include overnight stays.
  • Valid driver's license.
  • Successful completion of a background check.
