Job Title: Administrative Director, Health Care Administration

We are seeking an experienced Administrative Director to lead our Health Care Administration team. The successful candidate will be responsible for providing strategic direction, coordination, and administration of financial budgets, cost analyses, information/data processing, invoicing, and establishment of RVU targets.

Key Responsibilities:
  • Provide direction, coordination, and administration of financial budgets, cost analyses, information/data processing, invoicing, and establishment of RVU targets.
  • Review operating expenses, capital purchases, and other purchasing operations.
  • Prepare projected annual budgets with the Division Chief and Department Director.
  • Make suggestions to the Chief to ensure efficient operations and achieve cost savings.
  • Work with Division Chief and department's fiscal resource personnel to develop financial reports, spreadsheets, and protocols to provide a fiscal overview to the Chief on a monthly basis.
  • Coordinate and manage activities for the department's divisional managers and other administrative staff.
  • Provide training and professional development activities for current administrative support staff, and onboarding administrative specialists.
  • Establish priorities and deadlines, creation of work assignments, and managing of office activities.
  • Coordinate confidential or non-routine administrative duties and provide advanced administrative support to the Division Chief and Departmental Director.
  • Manage and problem solve unit human resource functions, including faculty recruitment, fellow recruitment, interviewing, and hiring for the administrative support staff.
  • Coordinate the travel and itineraries to ensure visiting applicants are treated with the utmost respect and hospitality.
  • Assist in the resolution of complex human resource issues within the division, including training, recruitment, and personnel functions within the unit in collaboration with the College of Medicine Human Resources team.
  • Manage office operations by being responsible for the management of staff absences and leave coordination, ensuring that the offices have appropriate coverage at all times.
  • Work closely with the Department Director on issues related to hires, staff assignments, and workload.
  • Manage all issues with administrative functions, including addressing phone or computer problems, coordinating, and establishing new employees with phone and computer connections, and oversight of divisional trainings.
  • Supervise administrative support staff, OPS employees, and student assistants.
Requirements:
  • Master's degree in an appropriate area and two years of relevant experience, or a bachelor's degree in an appropriate area and four years of relevant experience.
  • Experience with People Soft, Enterprise Reporting, Business Objects, and other budgeting tools.
  • Experience working with the myUFL system.
  • Experience with EPIC scheduling and billing systems.
  • Knowledge of administrative rules, regulations, and procedures to execute assigned duties.
  • Knowledge of University of Florida rules, regulations, and policies relating to HR and fiscal spending.
  • Knowledge of grants and clinical environments.
  • Knowledge of business/office practices.
  • Knowledge of Microsoft Word, Outlook, and Internet Explorer.
  • Knowledge of People Soft.
  • Knowledge of Health Center and College of Medicine rules/regulations regarding personnel management, purchasing, travel, and Shands online systems (LIS, HIS, medical records).
  • Knowledge of the university's policies and procedures.
  • Familiarity with university management.
  • Familiarity with basic accounting.

  • Excellent/strong interpersonal skills.
  • Strong written and verbal communications skills.
  • Personable with good telephone skills.
  • Excellent Excel skills (calculations, graphic tools, Pivot tables, and formatting).
