Job Summary

The Administrative Assistant position at LinQuest Corporation provides mission support in one or more functions or business areas within the NRO Directorates/Offices. This role performs a variety of administrative duties, including transactional activities, and requires general knowledge of basic administrative processes to moderately complex tasks.

Key Responsibilities
  • Support the day-to-day business process and operations of the office.
  • Recommend innovative processes to improve the efficiency and effectiveness of the office.
  • Compose written communication in response to complex customer queries.
  • Prepare routine status reports and track office-related metrics.
  • Coordinate scheduling, organizing, and execution of meetings, events, conferences, and off-sites.
  • Attend meetings, events, and forums.
  • Assist in maintaining inventories, records, and receipts.
  • Coordinate office renovations and relocation activities.
  • Support action items and assist in the coordination of responses, to include:
  • Assigning actions to appropriate personnel.
  • Following up on open/pending actions.
  • Coordinating responses in a clear, organized manner for senior management review.
  • Providing status reports.
  • Participating at NRO-wide TIER meetings.
  • Maintaining a 'Schedule of appointments for assigned personnel.
  • Supporting daily office management functions, such as:
  • Placing, answering, transferring, and screening phone calls to appropriate personnel.
  • Following up on all messages to ensure adequate resolution of issues or concerns.
  • Assisting with ordering supplies/equipment and arranging for office equipment repairs.
  • Supporting the management of mail within the assigned office by performing duties such as:
  • Retrieving, sorting, and distributing incoming mail, newspapers, faxes, and other publications/documents.
  • Arranging for the delivery of outgoing mail/packages with the mailroom.
  • Supporting USG travel requests and reporting.
  • Notifying appropriate leadership and other parties of personnel absences.
  • Creating and assisting in the preparation and development of reports, briefings, and presentations for various audiences.
  • Assisting with event planning, attending, and facilitating meetings, workshops, conferences, and working group sessions, tracking milestones, and providing summary of meetings and meeting minutes when requested.
Requirements
  • 3-5 years of experience working within an IC/DoD supporting daily business operations as an administrative assistant.
  • High School Diploma or GED Equivalent.
  • Active TS/SCI clearance + CI Poly is required.
Preferred Skills and Experience
  • Oral and written communication skills sufficient to compose and deliver clear and concise responses.
  • Knowledge of proper English usage, spelling, grammar, punctuation, and sentence structure to ensure that written materials prepared and reviewed are complete, succinct, and formatted correctly.
  • Experience in the use of Microsoft Office and standard computer applications.
