Executive Administrative Assistant to the President and CEO

At KBK Enterprises, we are seeking a highly skilled and experienced Executive Administrative Assistant to support our President and CEO in Columbus, Ohio.
This critical role will be responsible for managing information flow, scheduling, and representing the company at the highest levels. The successful candidate will possess exceptional communication skills, technical proficiency, and organizational abilities.
Key Responsibilities:
- Time Management: Optimize the President and CEO's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating communications.
- Scheduling and Travel: Manage the President and CEO's calendar by planning and scheduling meetings, conferences, teleconferences, and travel arrangements.
- Gatekeeping: Serve as the primary gatekeeper for the President and CEO's time, ensuring efficient use and protection of their schedule.
- Guest Relations: Welcome guests and clients by greeting them in person or over the phone; answering or directing inquiries as needed.
- Confidentiality: Maintain confidentiality and protect company operations by carefully managing sensitive information.
- Project Management: Oversee project completion by delegating tasks to clerical staff and following up to ensure results.
- Record Keeping: Develop and maintain filing and retrieval systems; accurately record and track meeting discussions for historical reference.
- Team Contribution: Support the team by accomplishing related tasks and contributing to overall company goals.
- Information and Communication Management: Function as the information and communication manager for the President and CEO, ensuring effective internal and external communication.
Requirements:
- Exceptional verbal and written communication skills, with the ability to draft professional correspondence and create impactful presentations.
- Highly skilled in Microsoft Office Suite (Word, Excel, PowerPoint) and adept at managing spreadsheets, databases, and digital graphics.
- Strong organizational abilities with experience in scheduling, travel arrangements, and project management.
- Proven ability to manage confidential information with the utmost discretion.
- Capable of working independently and anticipating needs, with a proactive approach to problem-solving.
- Meticulous attention to detail and the ability to multi-task effectively in a fast-paced environment.
- A minimum of 6 years' experience supporting a C-level executive is required, with a preference for experience in the real estate industry.
