The Healthcare Access Coordinator is responsible for warmly welcoming and assisting patients and their representatives, either in person or via phone, ensuring an outstanding initial experience with our organization. This role involves gathering necessary demographic and insurance information to facilitate accurate billing and reimbursement processes. The Coordinator will also secure essential signatures from patients and representatives to safeguard the organization's interests while delivering exceptional service with a high degree of professionalism.

This is a full-time position requiring availability during standard business hours, including rotating weekends.

We provide 4-6 weeks of comprehensive on-the-job training, with schedules discussed on the first day of employment. Training will be conducted on-site.

Key Responsibilities:
  • Engage directly with patients and families, either in person or over the phone, to complete the registration process by collecting necessary demographic and health information while verifying insurance eligibility and benefits.
  • Utilize computer systems to accurately enter or verify patient data in real-time, ensuring completeness and correctness of information.
  • Collect necessary clinical information and manage referrals, pre-certifications, pre-determinations, and pre-authorizations in accordance with insurance plan requirements.
  • Confirm insurance coverage and benefits, generating price estimates and conducting reverifications as needed.
  • Collect patient co-pays as appropriate and discuss financial obligations with patients.
  • Identify outstanding balances from previous visits and attempt to collect any amounts due.
  • Gather data from patients and referring provider offices to confirm and schedule appointments for patient services prior to discharge.
  • Address inquiries from patients and caregivers regarding routine and sensitive topics with compassion and respect.
  • Generate, review, and analyze patient data reports, following up on any issues or inconsistencies as necessary.
  • Maintain current knowledge of specific registration requirements across various departments, including Main Admitting, OP Registration, ED Registration, Maternity, and Rehabilitation units.

Required Qualifications:
  • High School Diploma / GED (or higher).
  • 1+ years of customer service experience.
  • Must be 18 years of age or older.
  • Ability to work full-time during specified hours, including rotating weekends and occasional overtime as needed.
Preferred Qualifications:
  • 1+ years of experience in scheduling and authorizations.
  • Experience in healthcare and clinical knowledge.

Physical and Work Environment:
  • Standing for extended periods while utilizing a workstation on wheels and phone/headset.
