Proposal/Marketing Coordinator Job Description

Job Summary: Dewberry Engineers Incorporated is seeking a highly motivated and organized Proposal/Marketing Coordinator to join our Mid-Atlantic Marketing Team. The ideal candidate will have a strong background in marketing and proposal development, with excellent communication and project management skills.

Key Responsibilities:

  • Support multiple proposal efforts and teams simultaneously, ensuring timely and high-quality deliverables.
  • Develop and edit proposal responses, working collaboratively with pursuit managers and subject matter experts.
  • Responsible for a variety of proposal types, including state and local proposals, SF330's, design-build proposals, technical proposals, qualification packages, and oral presentations.
  • Comply with corporate standards for presentation graphics, proposals, resumes, and collateral materials.
  • Compile and edit proposal materials, verifying and formatting proposal information.
  • Coordinate with corporate communications team to develop promotions, graphics, advertisements, and photography.
  • Support Client Managers in market research, competitor analysis, and client intelligence.
  • Perform QA/QC to ensure proposals and other marketing materials are compliant, accurate, and delivered in a timely manner.
  • Support proposal production process and assembling and delivery of final documents.
  • Support development and submission of awards entries.
  • Manage event planning for conferences.
  • Prepare marketing collateral, including OnePagers, leave behinds, and other marketing materials.
  • Customer Relationship Management (CRM) entry, editing, and reporting.
  • Support marketing in day-to-day efforts.

Requirements:

  • Bachelor's degree in Marketing, Business, Communications, English, Journalism, Graphic Design, or related field.
  • Minimum of 2+ years' experience personally producing proposals and managing proposal efforts in the A/E/C industry.
  • Experience with state/local proposal formats.
  • Proficiency in Adobe Creative Cloud desktop publishing applications (InDesign & Acrobat Pro).
  • Extensive computer software skills, including Microsoft Office (Word, PowerPoint, Excel, Outlook & Teams).
  • Knowledge of database/CRM systems, specifically Deltek Vision, a plus.
  • Exceptional written and oral communications skills.
  • Effective proposal management skills, including strong attention to detail, planning, organization, problem identification and resolution, and resource management skills.
  • Strong interpersonal skills and ability to work collaboratively in multi-disciplinary teams.
  • Flexibility, self-motivation, and ability to prioritize multiple tasks, coordinate shifting priorities, respond to short-term deadlines, and carry a diverse workload with tight timelines.
  • Availability to work overtime as necessary to meet business requirements.
  • Willingness to travel to other office locations for meetings as needed.
