Job Overview

First Class Private Investigation is seeking a highly skilled Process Server Manager to oversee the daily activities of our process serving department. As a key member of our team, you will be responsible for ensuring that legal documents are delivered to individuals in a timely and lawful manner.

Key Responsibilities
  • Supervision & Leadership
    • Manage and lead a team of process servers, including hiring, training, and performance evaluation.
    • Assign daily routes and tasks to process servers, ensuring efficient delivery of legal documents.
    • Monitor performance metrics to ensure high standards of productivity and compliance.
  • Compliance & Legal Adherence
    • Ensure that all process servers adhere to state, federal, and local regulations governing the service of legal documents.
    • Maintain knowledge of changes in laws or regulations that impact process serving procedures.
    • Handle escalations, difficult serves, and resolve issues involving document serving.
  • Operations Management
    • Develop and manage systems to track the status of legal document service in real-time.
    • Ensure proper documentation, logging, and reporting of served documents.
    • Coordinate with legal teams to prioritize urgent or high-profile cases.
    • Conduct regular audits of process server activities to ensure accuracy and compliance.
  • Client & Stakeholder Communication
    • Serve as the point of contact for clients regarding process service updates, challenges, or legal concerns.
    • Liaise with attorneys, paralegals, and court officials as needed.
    • Ensure accurate and timely updates to clients regarding the status of served documents.
  • Administrative Duties
    • Manage departmental budgets, including process server expenses and any administrative costs.
    • Prepare and submit regular reports on the department's performance and legal serve metrics.
    • Develop and implement training programs for new process servers.
    • Maintain and update process server databases and ensure secure handling of sensitive documents.
Requirements
  • High school diploma or equivalent (Bachelor's degree in business, legal studies, or a related field is preferred).
  • At least 3-5 years of experience in legal services, process serving, or a related field.
  • Knowledge of state and federal regulations surrounding the service of process.
  • Strong organizational skills with the ability to manage multiple priorities.
  • Excellent leadership, communication, and conflict-resolution skills.
  • Proficiency with relevant software systems for document tracking and management.
  • Valid driver's license and access to reliable transportation (if applicable).
Preferred Qualifications
  • Certified Process Server (depending on state regulations).
  • Experience managing a team of process servers or legal assistants.
  • Familiarity with court filing systems and procedures.
Skills and Competencies
  • Detail-oriented with the ability to follow strict legal procedures.
  • Strong analytical and problem-solving skills.
  • Ability to work in high-pressure situations and meet tight deadlines.
  • Customer service orientation with strong client-facing communication skills.
  • Ability to manage and allocate resources effectively.
Physical Requirements
  • Must be able to sit for long periods and work in front of a computer.
