Job Summary

As a Senior Laboratory Operations Manager at Pennsylvania Medicine, you will play a pivotal role in ensuring the smooth operation of our laboratory section(s). This position requires a strong leader who can manage daily technical and administrative functions, while maintaining compliance with institutional and laboratory policies.

The ideal candidate will have excellent communication skills, be able to evaluate and recommend technical methods, maintain written procedures, and manage personnel effectively.

Responsibilities

• Technical Services:
• Monitor pre-analytical, analytical, and post-analytical phases of test systems
• Review range and types of tests offered to ensure laboratory services remain supportive of advances in clinical laboratory testing systems
• Maintain technical ability and knowledge required to supervise the performance of any procedure in the section
• Develop and monitor Quality Control/Quality Improvement programs
• Resolve test system problems through instrument troubleshooting, operator performance assessment, and trend analysis
• Ensure enrollment in appropriate Proficiency Testing programs
• Manage results entry into databases
• Monitor workflow and workload, adapting operational plans as needed
• Assist clinicians and researchers in utilizing lab services for special projects and research protocols
• Meet with clinical research sponsors/auditors to review lab service support
• Eliminate process workarounds
• Maintain equipment with appropriate documentation
• Follow manufacturer guidelines and routine preventive maintenance schedules
• Perform bench responsibilities when required
• Maintain competency in all technical aspects of the section
• Perform, troubleshoot, and explain each test procedure currently performed in the section
• Perform teaching functions with residents and Medical Laboratory Science Students

• Regulatory Compliance:
• Work with Quality Assurance manager to prepare for inspections, site visits, documentation of compliance, deficiency corrections, status changes, and licensing renewals
• Maintain updated database of regulatory requirements impacting lab operations
• Ensure all quality control, instrument records, test records, and documentation are maintained in compliance with regulatory requirements
• Monitor and participate in department efforts to maintain a safe working environment
• Ensure deficiencies are corrected

• Fiscal Management:
• Coordinate and collate department(s) annual capital, payroll, and non-payroll budget projections
• Assist finance in preparing justification and/or RPIs for new program or replacement item funding
• Review monthly expense reports and variance reports, devising strategies to minimize expense variances
• Develop and maintain updated database of cost/test for all tests performed in the laboratory section
• Reconcile monthly financial reports with workload volume reports to ensure appropriate billing
• Manage inventory through reagent utilization analysis
• Collaborate with management to establish competitive pricing for business development
• Plan overall staffing levels and schedules within approved budget
• Control and oversee purchasing of supplies for the section

• Staff Development:
• Ensure staff involved in moderately complex or highly complex testing meet personnel qualification requirements
• Complete annual performance reviews for all individuals under supervision
• Mentor and provide opportunities for team members to develop existing and new competencies
• Guide team in fostering an environment that supports diversity and promotes trust, integrity, and high performance
• Ensure completion of UPHS mandatory health screenings, annual training programs, and performance evaluations for all employees
• Communicate to staff the importance of patient satisfaction, quality of care, and sound financial performance

$120,000 - $150,000 per year based on experience.
