About the Role

We are seeking a highly organized and detail-oriented Academic Affairs Support Professional to join our team at Southwestern University. In this role, you will provide administrative support to the Associate Vice President for Academic Affairs, the Assistant Vice President for Academic Affairs, and the Executive Administrative Assistant for Academic Affairs.

Key Responsibilities
  • Serve as the receptionist to the office suite, greeting all visitors and answering incoming calls.
  • Provide general administrative support for the Associate Vice President for Academic Affairs, the Assistant Vice President for Academic Affairs, and the Executive Administrative Assistant for Academic Affairs.
  • Schedule meetings and events, including setting agendas, organizing catering and audiovisual services, scheduling rooms, generating announcements, creating contracts, making travel arrangements, and processing payment requests.
  • Assist in the planning and organization of special projects and regularly scheduled events such as New Faculty Orientation, Fall Faculty Conference, Teaching and Jesse Purdy Awards, and Institutional Review Board activities.
  • Maintain budget accounts by obtaining invoice approvals and processing necessary paperwork.
  • Provide additional support for the Director of Institutional Research & Effectiveness, the Director of the Center for Teaching, Learning and Scholarship, and for the faculty as needed.
  • Manage the Office of Academic Affairs website.
  • Co-supervise student workers and provide direction on their responsibilities.
Requirements
  • High School Diploma.
  • Minimum of five years of office/clerical experience.
  • Ability to work both independently and as a member of a team.
  • Ability to read, understand, and follow written and verbal instructions.
  • Excellent oral, written, and interpersonal communication skills.
  • Commitment to providing outstanding customer service, including outstanding telephone etiquette and listening skills.
  • Excellent organizational skills and the ability to handle multiple tasks with a keen attention to detail.
  • Flexibility regarding changing priorities.
  • Possess the applications of tact, diplomacy, sensitivity, and confidentiality.
  • Ability to coordinate and manage calendar schedules, travel arrangements, meeting arrangements, and other related activities.
  • Ability to attend work consistently and maintain a regular work schedule.
Preferred Requirements
  • Minimum of two years of college.
Benefits

Southwestern University offers a competitive salary range of $55,000 - $65,000 per year, depending on experience, plus excellent benefits, including health, dental, life, long term disability, retirement, paid holidays, vacation, sick leave, undergraduate tuition assistance for yourself and your dependents, access to athletic facilities, free parking, and discounted meal rates.
