Position: Project Coordinator

The Project Coordinator will deliver essential administrative support to the Contracting Division. Responsibilities encompass clerical tasks, report generation, and project-specific activities. The role demands a professional demeanor during both in-person and telephonic communications.

Attention to detail is crucial, with an emphasis on data entry, precision, and effective communication.

Key Responsibilities:

The following duties are essential. Additional responsibilities may be assigned as needed:

  • Engage with Project Managers and Foremen daily for updates and requirements.
  • Compile and distribute the weekly project report.
  • Maintain the contact list for current and upcoming projects in the Northeast region.
  • Coordinate the requirements for new project bookings, including contracts and certificates of insurance.
  • Create and organize project folders for new and ongoing projects.
  • Review the contract management system daily for updates on contracts and equipment.
  • Check the completed project folder daily for updated permits.
  • Request key plans and fabrication details from design teams as necessary.
  • Input fabrication details and timelines into the management system as information is received.
  • Assist the Field Coordinator with work-in-progress documentation when required.
  • Coordinate and monitor all equipment requirements for projects.
  • Send necessary documentation to the fabrication shop as needed.
  • Contact external vendors for repairs and follow up on completion.
  • Collaborate with the Safety Department and Project Managers to ensure all safety meetings are conducted.
  • Issue and track purchase orders as required.
  • Request and/or locate drawings for project teams and print as necessary.
  • Ensure all necessary testing documents and charts are prepared for projects.
  • Assist with scheduling and planning for key project milestones.
  • Participate in all relevant meetings.
Qualifications:

To succeed in this role, candidates must meet the following qualifications:

  • A High School Diploma or GED is mandatory.
  • A minimum of 3 years of administrative experience is required.
  • Experience in the construction industry is advantageous.
