Job Summary

The Lead Clerk serves as a primary trainer for the unit they are assigned to, providing guidance and support to new staff members. This role also involves answering procedural questions, serving as a backup in the event of absences, and maintaining a working knowledge of all unit responsibilities.

Key Responsibilities
  • Provides clerical support to the Clerk's Office, including answering phone calls, processing requests, and preparing documents.
  • Utilizes the Juvenile Court case information system to enter and retrieve court-related data.
  • Files and processes complaints, motions, pleadings, journal entries, and other court-related documents.
  • Prepares records for appeals and requests transcripts.
  • Seals and expunges records per judicial orders.
  • Responds to fax requests, tracks, and retrieves legal files.
  • Initiates family information, assigns case numbers, and judges to case files.
  • Processes, scans, and proofs returned service, returned journal entries, and other court-related documents.
  • Updates case party and attorney information.
  • Issues warrants, service, notices, process Civil Protection Orders, bonds, and IV-D information.
  • Provides front-line support to staff to resolve work-related issues and consults with the Senior Supervisor when necessary.
  • Performs as the lead trainer for all new staff in assigned units to ensure consistency with training and unit procedures.
  • Assists the Senior Supervisor with new and/or revised procedures.
  • Serves as a positive peer mentor for new staff to assist them in becoming acclimated to working in the Clerk's Office.
  • Assists with providing coverage and resolving work-related issues during the Senior Supervisor's absence.
  • Provides feedback to the Senior Supervisor regarding additional training needs.
  • Submits recommendations for changes to procedures for improvements.
Requirements
  • High school diploma or equivalent.
  • Minimum of three (3) years of clerical experience in a legal setting, preferably in a Clerk's Office performing legal services clerk or deputy clerk duties.
  • Excellent communication and customer service skills.
  • Ability to work effectively in a fast-paced and potentially stressful environment.
  • Proficient in operating iCase and knowledge of Microsoft Word.
  • Ability to speak Spanish is helpful.
Working Conditions

The Lead Clerk works in a standard office environment with standard office equipment and technology. The employee may be required to work at multiple locations and may be exposed to hazardous situations that may occur in the court environment.
