Job Summary

The Operations and Science Fair Coordinator will serve a dual role coordinating the Central Texas Regional Science and Engineering Fair and supporting the Museum Operations and Store Manager. Key responsibilities include managing administrative needs, streamlining financial processes, and ensuring effective communication among museum teams.

Key Responsibilities

  • Coordinate the annual Science and Engineering Fair events in collaboration with the board, teachers, judges, volunteers, and special award organizations.
  • Support the Science and Engineering Fair Board by organizing and leading pre-event meetings, ensuring all event needs are clearly understood.
  • Prepare agendas, compile meeting packets, and take minutes for all pre-event meetings.
  • Use Smartsheet to coordinate and share event information, keeping Senior Management informed of all event details.
  • Manage logistics for the annual Fall Teachers Workshop and the Science and Engineering Fair, including processing registrations, arranging physical layout, and coordinating setup and teardown.
  • Produce Judges Notebooks, the Fair Program, and manage the Awards Ceremony.
  • Oversee all financial aspects of the Science and Engineering Fair, including deposits of registration fees and donations, and vendor payments.
  • Coordinate with the Broader Impacts and Volunteer Engagement Manager for the annual Junior Science Fair.

Additional Responsibilities

  • Assist the Operations Manager in communicating financial processes and procedures to museum staff.
  • Manage office supply and equipment inventory.
  • Provide assistance to the Senior Management Team as needed.
  • Coordinate and train staff on Relay, maintaining and communicating updated information.
  • Perform other duties as assigned by the supervisor.
