Support Office Coordinator

The Administrative Assistant provides essential support to the school administration, ensuring a smooth and efficient office environment. This role requires strong organizational skills, excellent communication abilities, and a keen attention to detail.
Key Responsibilities:
- Answering telephone calls and addressing caller inquiries and concerns.
- Transferring calls to the appropriate individual or department as needed.
- Mailing student report cards, school brochures, and other necessary documents.
- Welcome visitors to the school and providing directions around the building as required.
- Typing up and contributing to the school bulletin or newsletter.
- Assisting in designing and drawing up promotional and informational materials for parents.
- Providing students with tardy slips.
- Maintaining records of student absences.
- Accepting and processing school lunch payments.
- Sorting and distributing mail delivered to the school office.
- Contacting parents in the event of student illness or behavioral issues.
- Maintaining student records and files.
- Using computer databases or filing systems to update records as necessary.
- Leading and/or assisting with the submission of state-mandated student account reports.
- Ensuring all staff are properly added to Timeclock and can clock in and out without assistance within two days of beginning employment.
- Managing and updating the school calendar.
- Providing administrative support to the principal or other upper-level administrators as needed.
- Taking dictation and transcribing documents.
- Attending office meetings and taking minutes.
- Distributing paychecks to school staff.

- Working well with various students, administrators, and parents.

- Possessing basic computer skills and knowledge of word processing programs.
- Demonstrating the ability to think creatively.
- Demonstrating strong writing and editing abilities.
- Possessing excellent telephone etiquette.
- Communicating clearly and effectively.
- Being capable of handling confidential student records responsibly.
- Demonstrating familiarity with basic office equipment such as multi-line phones, fax machines, and scanners.
Qualifications:
- Must work well with the public.
- Must have experience with Microsoft Word and Excel.
- Satisfactory completion of oral and written interviews.
- Criminal records clearance.
Work Environment:
This is a full-time position that offers an annual salary of $30,000 and benefits including 401(k), dental insurance, employee assistance program, health insurance, and paid time off.
