Job Title: Payroll Accounting Specialist

Job Summary:

The Payroll Accounting Specialist will oversee the preparation, generation, and maintenance of all company payroll documentation, including direct supervision of payroll staff, and related personnel. The Payroll Accounting Specialist must be extensively familiar with all local, and federal payroll laws, and ensure maximum organization compliance.

Responsibilities:

  • Ensure maximum accuracy of all quarterly and annual tax forms
  • Oversee the activities of the payroll staff to ensure each bi-weekly payroll remains error free
  • Oversee reconciliation of employee benefits programs, such as group health, dental and vision, accident and disability, life insurance, 401(k), and wellness benefits
  • Oversee maintenance of payroll records and files including but not limited to paid time off and other accrued leave
  • Responsible in ensuring all Federal, State, and Local Laws are not only well versed but complied with
  • Act as the direct liaison between organization, and the external payroll provider specialists
  • Responds to Director as assigned with accurate and timely work to facilitate department needs
  • Responds to routine inquiries concerning bookkeeping functions, as well able to facilitate reports on the go on an as needed basis
  • Ensure month end close payroll expense reports are submitted timely, and accurately.
  • Perform complex journal entries incorporating figures from external payroll reports to internal accounting software
  • Assists with the development and implementation of bookkeeping and payroll practices, policies, and procedures
  • Act as in internal auditor to ensure all internal controls are followed and implemented in accordance with organization policy and federal/state regulations
  • Additional controller duties as necessary

Professional & Personal Qualifications:

  • BA/BS or equivalent in Accounting, Finance, Economics, and/or Business with a minimum of 2 plus years operating in a payroll supervisory role
  • AA/AS or equivalent in Accounting, Finance, Economics, and/or Business with a minimum of 5 plus years operating in a payroll supervisory role
  • Advance knowledge of QuickBooks and other financial software required
  • Advance knowledge of Microsoft office
  • Knowledge of Paycom Payroll, ADP, Paychecks, and other payroll platforms
  • Knowledge of current Federal, State, and Local tax laws
  • Strong communication ability
  • Excellent analytical, quantitative skills
  • Proven ability to handle multiple tasks effectively under pressure while successfully meeting critical deadlines
  • Strong organizational skills, detail-oriented, and efficient
  • Maturity, integrity, and sound judgment
